How to redact a PDF?

What is a document redaction?

Document redaction is the process of modifying a document to conceal or obscure sensitive information, ensuring it's not visible to unauthorized individuals. It's a crucial step in protecting privacy and complying with regulations like HIPAA, GDPR, and the Freedom of Information Act.

Which files can be redacted?

Currently, only PDF files can be redacted.

Can I have multiples redacted versions of the same document?

No! Each document can only have one redacted file version. Users can redact multiples times, but it will always overwrite with the new version.

Can I share/discovery a redacted document?

Yes! Make sure to select the redacted file to share/discovery it. These documents will be marked as "redacted".

How to redact a document?

1. Select a PDF document on the Image tab.
2. Right-click it and browse to PDF Services > Redact PDF.


Manual redaction

Users can click on the pencil icon at the menu bar and manually redact the document.



Search/bulk redaction

Users can select the magnifying glass icon or use the CTRL + F key to open the search box. In the search box, users can search texts on the document, identify them and redact only some of them or all of them by clicking the lock icon button.

Alert
STAC may not be able to search and auto redact some words in digitalized documents due to low quality of the document.



Remove redaction box

Users can remove a box by unselecting the pencil icon at the menu bar. It will activate the selection mode, and allows users to select the boxes and delete them by hitting the DELETE key.

Users cannot select multiple boxes to be deleted. It must be one at time.


Save redaction

Once concluded, users can click on the floppy disk icon at the menu bar to save the redaction.
When a redacted file is saved, the redacted record will be saved as a new image on the Image tab. It will have the same Image type and sub type as the original record. The comment from the original record will also be brought to the new record.

Some files may take extra time to be saved depending on the file size and the number of redactions.
