How to copy or duplicate cases?

Copy case vs Duplicate case

There are times when a user will need to copy most of the information from a case and instead of creating an entirely new case, they can use the framework of a case that was already created in STAC.

In the Wizard there are options to Copy Cases and to Duplicate Cases.

The main difference between these two functions is the ability to edit the information that was previously entered.

  1. When a user is copying a case, they will need to go through all of the pages in the Wizard, and they are able to modify existing information that was in the case being copied.
  2. When a user is duplicating a case, they will only have the option to go through the first page of the wizard and add that information. It is important to note, that if a user is duplicating a case they will not be able to edit any of the relationships or charges that are already assigned to the case being duplicated. A user will have the ability to edit the information once the case is created the same way a user can edit cases in STAC normally.
Info
The copied cases only bring over the Relationships and Charges from the original case. However, duplicated cases bring over Events, Images, Relationships, Charges, and Notes into the newly duplicated case.

How to Copy a case?

Below is an example of how a case is copied. We can see the Relationships and Charges are copied into the new case. However, items that are NOT copied over are the Images, Notes, and Events. Notice that the arrest date and the offense date don’t get copied because the Defendant may have been arrested a second time or did another offense.

StepsDescription
1Select the case to be copied
2Right click menu on Case list > More > Copy > Copy Case
3Add Incident-Number information
4Add Incident-Detail (the offense date and arrest date do not get copied)
5Add/create an event or users can skip and go through the rest of the Wizard
6Add Incident-Relationships: Confirm that the information is still accurate
7Add Incident-Charges: Confirm that the information is still accurate and Save
Alert
The Images, Notes, Events, Offense date, and Arrest date do NOT get copied when a user Copies a case

How to Duplicate a case?

Below is an example of how a case is duplicated. When a case is duplicated the user will only get the option to edit the First screen in the Wizard. The rest of the case is an exact duplicated copy of the case selected.

This allows Events, Images, Notes, Relationships, and Charges to be copied and applied to the new duplicated case.

StepsDescription
1Select the case to be duplicated
2Right click menu on Case list > More > Copy > Duplicate case
3Fill out the case information and Save
