How to Compress Directories?

What is the Directory compression?

The Directory compression is a useful function if an individual has multiple directory records that are partially completed. When the 2 directories are compressed the new Directory record will have the information from the fields that were different saved in the Directory History tab.

STAC does NOT update the remaining record when a field is empty and one of the compressed records had a value. For example, if record 1 does not have a SSN or DL and record 2 has them both, we don’t update record 1 when the records are compressed. However, STAC does save the values on record 2 that are different from record 1 in the Directory History Tab.

What information is saved in the History Tab after a directory is compressed?

  1. Date of Birth
  2. Directory type
  3. DL number/state
  4. SSN
  5. Height/weight
  6. Race
  7. Sex
  8. Ethnicity
  9. Email
  10. Badge number
  11. Other identifiers

How to compress a directory?

To compress a directory record, go to: Directory > Select the directory to be deleted during the compression > Compression

Steps:

1. Select the directory to be compressed
2. Select the Compression option on the top of the screen
3. Choose which Directory will get compressed (The Directory chosen on this screen will be the one that remains in STAC)
4. Choose if the users want to compress the Address and Phone. These are optional. 
AlertOnly Directories of the same directory type can be compressed.

Why is the compressed information not automatically added to the new directory?

One of the reasons we don’t add the values from the other Directory is because multiple records can be compressed at once, and these records may have different values.

Users can go to the directories History tab to view the data from the directories that were compressed and update the fields they need to update accurately.

STAC will then prompt a message confirming the user would like to Compress the directories. This process is now automatically scheduled to be done after hours to not affect the speed or use of the other users.
