How to add links with files from outside organizations into STAC?

Recently, users have been receiving files from outside organizations via a link and are required to download the content and add it to the cases in STAC.

To handle these links, STAC has a feature called Link Parser.

This is going to allow users to add a URL link to cases from the Image tab, this link will then be sent to the CIP Portal The CIP Portal will download, unzip, and return the content (files) to STAC in the Hyperlink Center. From there users will be able to preview the file and add the Image type, comment, send the file for discovery, etc. Once that information is added, the files will be in the cases Image Tab.

Users can only add a URL to a case once, if the same URL has been added to a case previously. The user will get an error message indicating this URL has already been processed for this case. Even if the process fails, the same URL will not be able to be added to the case again.
The files that are going through this Link Parser process are also going through the CIP Media Services procedure, and if it is a file that is typically not playable through the Browser, STAC is converting the record in the background to be playable on the screen. However, users should be aware that not every extension type is able to be converted.

Steps:

  1. Collect the URL from the source (most users are receiving it by email) and the case related information.
  2. Once the user knows which cases the URL must be added to, they can search and make a case list of the cases. 
  3. STAC will open a new window screen, allowing the user to add the URL. (It is important to know, that users can only add 1 URL per action.)

    What does this mean exactly, it means that users can multi-select as many cases that need the same information, but each time the users selects the option Add Hyperlink Image, they will only be able to add 1 URL link at a time.
      4. Once processed the files will be added to the Hyperlink Center
      5. In the Hyperlink Center, the user will add the Image information such as the Image Type, Image Sub Type, Comment, flag for discovery, etc. The file will then be saved into the Case.
To check the status of the Link Parser Services, users can go to the CIP Portal Status Search in the Search menu. Users can filter for Link Parser service by setting the Portal Type=LP-Link Parser.
