How to add Events?

How to add Events?

What Are Events?

  • Events are used to capture all significant dates and actions in a case.

  • Examples include:

    • Offense date

    • Arrest

    • Hearings

    • Speedy trial deadlines

    • Depositions, etc.

Why create new events?

  • Agencies can use events to track custom data without modifying STAC.

  • No system update is required to capture new information.

  • To track a new type of data:

    1. Administrators can create a new Event Type or Subtype

    2. Grant user rights

    3. Users can begin using the new event immediately

How to add an Event?

Steps:
1. Open the Event Tab
2. Click Add
3.
Fill in the event details
4. Click Save to record the event

How to Add Events to Multiple Cases – Event Group

Purpose:

To apply the same event to multiple cases (e.g., scheduling hearings for multiple defendants at the same time).

How to Add:

There are 2 ways to add events to multiple cases at one time:
  • Option 1: Select multiple cases > go to Event Tab > click Add

  • Option 2: Right-click on selected cases in the Case List > choose Add Events

Tips:

  • The number of cases is shown at the top of the screen to ensure the user is selecting the right cases when doing a bulk action

  • Once saved, the events are grouped together

  • Users will get a confirmation message when updating/deleting any event that is part of a group

How to Edit or Delete Grouped Events?

When Editing:

  • STAC will display a list of grouped cases

  • The case with a check next to it indicates it is the current case selected

  • User chooses:

    • Only Update Current Case

    • Update All Cases

    • Cancel

When Deleting:

  • The same prompt will appear

  • Users can:

    • Delete the single instance

    • Delete the entire group

    • Cancel

The Event type related field is used to relate an event in a case with another event in the same case. This is very useful for queries and reports.

The event related creates a link between the 2 events and it will show in the reports. The related events are normally used for very specific situations. For example, when tracking diversions for the event screen, this field can be used to link the specific program when a diversion is successful or unsuccessful.

Event Triggers

With the event trigger, agencies can create multiple workflows and enforce rules for data entry.

In addition to automatically triggering other records, this trigger engine can also be used to prevent events from being added. For example, users can prevent a case from being closed if there are open requests or open investigations in this case.

Another good example of the trigger is to assist in tracking dates due dates for certain actions. For example, we can create a trigger that adds an event indicating when a defendant must complete a diversion program from adding an event indicating they enter into a diversionary program.

Event Triggers and automation

There is quite a bit of automation that can be implemented just by adding a single event.
