We started creating summaries of our STAC 3 collaboration meetings on 9/24/25. This Document is to summarize the Q&A of the previous meetings 6/18/25-9/17/25 for reference. All future meeting will be in their own posts.

From 6/18/2025 Collab:

 Sentencing Configuration

Q: Can STAC 3 be configured to force users into the Sentence Wizard upon case disposition like STAC 2?
A: Not yet, but it's in development. The goal for Beta 4 is to allow configuration based on a disposition flag so the sentence screen launches automatically during disposal if enabled.


Undo/Split Consolidation

Q: Has the functionality for Undo or Split Consolidation changed in STAC 3?
A: No, the process is the same. It's now accessible via right-click on the case.


 Refresh Button for Searches

Q: Is there a quicker way to refresh user query results in STAC 3?
A: Yes, a new “Refresh” button has been added to update results without re-running the full query manually.


 Text Message Translation Preview

Q: Can users view original and translated versions of text messages?
A: Yes, users can toggle between the original and translated versions in the text message preview screen.


 XML File Previews

Q: Can STAC 3 preview XML files?
A: Yes, but previews are limited to the first 1,000 lines. A message will appear if the file exceeds this limit.


Searches Available

Q: What searches are available in STAC 3?
A: Document Search, Assignment Search, Form Search, and Statute Search, functionally similar to STAC 2 but with updated UI.


 Charge Tab Walkthrough

Q: Is there a walkthrough for using the Charge tab?
A: Yes, accessible via the “i” icon on the tab for step-by-step guidance, including opening Charge Maintenance.


 Case Wizard Enhancements

Q: What changes were made to the Case Wizard in STAC 3?
A: New fields added: Detention Info, OBTS#, Booking#, Appointment Type. Also improved import matching logic for supplemental staff relationships.


Text Field Character Limits

Q: What is the new character limit for fields like comments?
A: Increased to 1,000 characters (was previously capped at 255).


 ZIP+4 Support

Q: Does address validation now support ZIP+4?
A: Yes, the additional four digits are now included upon validation.


Restricted Event Actions

Q: Can users still manually add Open, Reopen, or Dispo events?
A: No. These are now restricted to prevent workflow and validation issues. Only system processes or Admin Mode (in future) will allow such edits.


 Image Tab Menu Redesign

Q: What changes were made to the Image tab menu?
A: Menu was renamed from “CIP Portal” to “CIP Portal Media Service,” and discovery/Share Portal options were moved to a clearer sub menu.


 Fit-to-Screen Image Viewer

Q: Has the fit-to-screen function been fixed?
A: Yes, images now automatically resize to fit the screen unless manually set to show actual size.


 Signature Merge Fix

Q: Has the issue with multiple signature variables during merge been resolved?
A: Yes, STAC 3 now merges all signature variables correctly.


 Merge Shortcut in Review

Q: Is there a faster way to go back to merge from pending review?
A: Yes, a new button allows users to return directly to merge from the review screen.


 Summary View Enhancements

Q: What improvements were made to the Summary tab?
A: Two view options now available: traditional and new “Preview” style. Users can rename fields, reorder them, filter results, and print summaries.


Grid Resort Behavior

Q: Does the selection persist when re-sorting the grid?
A: No. Based on user feedback, STAC 3 now behaves like STAC 2, resets to page 1 and selects the first record.


 Reopen Case Relationship Bug

Q: Was there an issue with relationships being removed upon case reopening?
A: Yes, this was patched. Relationships (like victim) were unintentionally reset but are now preserved when reopening a case.


 Compression Timing

Q: Can users opt to compress directory entries immediately instead of waiting for overnight jobs?
A: Not currently. Compression runs overnight to protect system performance. Developers are evaluating safer on-demand options for simple compressions.


 Multi-Keyword Event Search

Q: Can users search for multiple keywords at once in the event list like STAC 2?
A: No. STAC 3 search is now client-side and does not support semi-colon-separated multi-keyword searches. Column filters are recommended instead.


 Directory Search Improvement

Q: Can the directory search show full names during typing?
A: Not yet, but this is a known issue targeted for Beta 4.


 Image Date Filter Bug

Q: Why does the image tab filter by date not persist between cases?
A: This is a known bug. A fix is planned for Beta 4. It currently reverts to default after switching cases.


 Case/User Status Visibility Bug

Q: Why does the User Status filter disappear when resizing or zooming the case list screen?
A: It's a responsive display bug. The filter bar resizes improperly. A fix will be included in Beta 4

Case List & Pagination Behavior

Q: Why do my selections disappear when I move between pages in the case list or image tab?
A: This was a known bug in the STAC 3 Beta. It will be resolved so that selections persist across multiple pages during navigation.


Q: Can we display more than 200 items per page?
A: Some circuits have requested higher limits (e.g., 500+), particularly for large dockets and discovery review. CIP is evaluating use cases and may allow adjustable display limits based on need.


Q: Why is there concern about allowing users to view and select from thousands of records?
A: CIP aims to reduce error-prone workflows and improve efficiency. Large result sets lead to higher risks of selection errors and lost productivity. The goal is to shift more operations toward precise user queries and purpose-built tools (e.g., discovery module, event updater).


 Workflow Efficiency & User Queries

Q: What is CIP’s stance on large case lists for routine work like docket updates?
A: CIP encourages agencies to reduce reliance on browsing large case lists by building better user queries. When possible, queries should return only actionable records to reduce manual effort.


Q: What if my user query returns 250+ cases (e.g., all cases from a court date)?
A: That’s expected for certain use cases (e.g., docket updates, judge/attorney reassignments). In these cases, CIP recommends using the “remove from list” feature to reduce your view as you update records.


Q: Can we improve the event search, so it also allows adding a new hearing?
A: Yes. CIP is working on enhancing the event update screen to allow adding new events when hearings are continued or rescheduled.


 Discovery, Image Review & Selection

Q: Will STAC support selecting images across multiple pages for discovery?
A: Yes. The issue of selection loss across pages is being fixed. In the future, STAC may include a dedicated discovery module to improve workflow.


Q: Is there a way to prevent accidental de-selection when clicking near checkboxes?
A: CIP is exploring ways to improve checkbox handling. Suggestions included Outlook-style behavior, where checkboxes appear only when multi-select is active.


Q: Do filters apply across all pages or just the current one?
A: Filters now apply across the entire dataset, not just the visible page.


 Statute Search & Special Instructions

Q: Can users see and search the “Special Instruction” field when adding charges?
A: Yes. A hover icon displays the field now, but CIP will add this field as a visible column in the search grid to improve usability and support browser (Ctrl+F) search.


Q: Can “Special Instruction” be used as a searchable field in the statute search?
A: This enhancement is being considered so users can search charges by elements in the Special Instruction field, not just the statute description.


Grid Display Behavior

Q: Why can’t I resize columns in the statute search screen?
A: This is a bug. CIP will fix this to allow column resizing and potential reordering, consistent with other STAC 3 grids.


Q: Can grid text wrap in narrower columns (e.g., defendant name, notes)?
A: This is being evaluated. Some fields wrap now, but hyperlinks (e.g., case number) and note fields have formatting limits that prevent full wrap. CIP is balancing readability and data density.


Multi-Select Argument Behavior

Q: Why does the multi-select argument box close after each selection?
A: This is current behavior in STAC 3. CIP will look into improving it, possibly adding a “Select All” and “Deselect All” function for smoother selection.

Customization & User Interface

Q: Why doesn’t STAC 3 remember my image tab sorting preference (e.g., newest first)?
A: This is a known issue. Although personal sort settings are meant to be saved, some image tab settings currently reset. CIP is identifying which grids are affected and plans to address this in a future release. Users should submit screenshots or steps to reproduce if possible.


Q: Can users rearrange image tab columns (like moving “Comments”) and have that saved?
A: Not yet consistently. The feature to save column arrangement is still being refined. A fix is expected in an upcoming release. Report any specific instances where this fails.


Q: Will users be able to rearrange the main tabs (e.g., Event, Image, Relationship)?
A: This feature is planned for a future update but is not a current high priority.


 Document Merging & Subpoenas

Q: Why doesn’t the “Email” checkbox appear when merging subpoenas in STAC 3?
A: This is an issue under review. It may be a configuration problem. CIP is investigating with the agencies directly.


Q: Why can’t I reject a document with the email send method in STAC 3 like I could in STAC 2?
A: This is not currently supported in STAC 3. CIP is looking into whether this behavior can be restored in a future update.


 Address & Phone Entry

Q: Can STAC 3 automatically check “Main” when adding a new address or phone number?
A: It does so only if no current “Main” exists. If one already exists, the checkbox must be manually selected. CIP is considering a change to make the new entry default to “Main” unless manually unchecked.


Q: Why is there confusion between “Main” and “Current” for addresses and phone numbers?
A: Over time, the system introduced begin/end dates and mixed use of “Main” and “Current,” which has caused confusion. CIP is open to revisiting and clarifying these definitions once STAC 3 stabilizes.


 New Case Wizard

Q: In the New Case Wizard, why does the cursor skip the “Open Date” and “Received Date”?
A: This was intentional, to reduce clicks. CIP will reconsider this if multiple agencies prefer starting at the “Open Date” field instead.


Q: Can the “Received Date” field default to blank instead of today’s date?
A: Currently, it defaults to today’s date. CIP will explore making this configurable, since agencies define “Received Date” differently.


 Bond Type & Bond Amount

Q: Why is “Bond Type” required when adding felony charges with bond amounts?
A: STAC 3 links bond amount and bond type, but many offices don’t track “type” (e.g., cash, surety, ROR). Agencies requested decoupling these fields. CIP agreed to revisit this and may remove the required setting.


Q: What is “Bond Type” intended to capture?
A: Bond Type refers to how the bond was posted (e.g., cash, ROR). Since that info is often unavailable during case creation, making it required has caused confusion. Most offices do not use it.


 Case Status & Workflow

Q: Why does the system prompt about changing status (e.g., OI to OO) but not update it?
A: This is likely a bug. CIP will investigate and confirm.


Q: Why doesn’t the Sentencing Wizard automatically launch after a guilty disposition?
A: This was the initial design. A future update will allow the Sentencing Wizard to auto-launch if the disposition action is configured to trigger it.


Q: Why is the “Special Sentencing Code” list different in STAC 3?
A: In STAC 3, it appears as a dropdown. A multi-select window like in STAC 2 is planned for future updates to improve usability.


Image Review & Notifications

Q: Can reviewers see images pending for other users (e.g., for Investigations)?
A: Yes. Use the “Advanced Search” button in the Image Review tab to filter by reviewer and view other users' pending images.


Charge Editing & Deletion

Q: Can the red delete button for charges be restricted to certain users?
A: Not currently. Even if deletion is restricted, users can still change the statute or count number, which is functionally the same as deleting. CIP is open to future discussions on how to better manage this.


 From 7/16/2025 Collab:

 Directory & Data Cleanup

Q: Are there tools available to identify relationships pointing to incorrect directory types?
A: Yes. There are sample queries on Learn, which contains queries that flag directory relationships tied to incorrect or unexpected directory types. These can help clean up directory assignments.


Customization & Display Options

Q: Can users display more rows in STAC 3 tabs?
A: Yes. users can now increase the number of visible records up to 1,000 in both tabs and grids.


 STAC 3 Vision & Continuous Development

Q: Is STAC 3 meant to mimic STAC 2 “click-by-click”?
A: No. the goal is to modernize and improve workflows, not replicate STAC 2 exactly. Some tools and behaviors are intentionally different to enable:

  • Performance gains
  • Simpler interfaces
  • Future automation and improvements

Q: What’s the development philosophy going forward?
A: Continuous iteration, even after rollout, Collaboration with smart, invested users, and a focus on purposeful change rather than status quo replication



From 7/23/2025 Collab:

Document Merging & Relationships

Q: Can the merge document screen display the relationship (e.g., victim, witness) in its own column?
A: Currently, the relationship type appears at the end of the name. A request has been made to add a separate "Relationship" column, similar to the Relationship tab, so users can sort or quickly locate victims/witnesses in large cases.


Q: Why is there no visible “Paste” option when editing documents?
A: Due to browser security restrictions, the visible paste button was removed. However, users can still paste content using Ctrl + V.


Directory-Based Case Retrieval

Q: Can users retrieve all cases associated with a directory (e.g., defendant) like in STAC 2?
A: Not currently in STAC 3. This function has been requested to support tasks like bulk note entry or judicial notice for prior cases, especially in juvenile court.


Q: Why doesn’t the keyword field clear automatically after selecting a result in STAC 3?
A: This behavior differs from STAC 2 and was flagged as a usability issue. It’s under review to enhance speed and ease of repeated searches.


Charge Sequences

Q: Why was the “Create New Sequence” checkbox removed from the Charge tab in STAC 3?
A: The checkbox was removed to encourage better record tracking and ensure each substantial charge change creates a new sequence for transparency. This change supports improved historical accuracy and auditability.


Q: Can STAC 3 reintroduce the ability to add a charge to an existing sequence (e.g., Sequence 0 for original charges)?
A: Many circuits requested this. CIP will explore restoring this functionality or developing a better solution that balances user intent with historical tracking.


Q: Will users still be able to delete sequences to “undo” mistakes like in STAC 2?
A: Yes. Admins will retain the ability to delete sequences and backtrack as needed. Additional tools and logs are being evaluated to improve this process.


 Admin Mode & Event Tab

Q: Is Admin Mode available for the Event Tab in STAC 3?
A: Not yet. Admin Mode is being reviewed and will be added to screens where it was available in STAC 2.


 Widgets & Visual Tracking

Q: Can widgets for “My Assigned Cases” or “Reassigned Cases” specify a time range (e.g., “within 7 days”)?
A: Yes. This request was implemented, and users should see a clearer time-based label on those widgets.


Q: Can STAC 3 include a widget that shows cases by tag?
A: This is under consideration. Tags are currently treated as short-term labels, but the feature request to allow visual tracking (e.g., by tag categories like “Trial Prep” or “21-Day Case”) was well-received.


Case List Sharing

Q: Can users share their saved case lists with others in STAC 3?
A: Not yet. Multiple sharing options are under consideration, including:

  • A “Share” button to send the list to another user’s profile.
  • Public/private flags for saved lists.
  • A dedicated screen to browse shared lists by user.
  • Notifications upon receiving a shared list.

Q: Will shared case lists automatically update like queries?
A: No. Case lists are static (i.e., they won’t reflect newly added matching cases). This distinction will be made clear to users to avoid confusion with live query results.


Q: Will case list sharing respect user security settings?
A: Yes. Shared lists will reflect each user’s security permissions. Users may see fewer cases if they lack access to some of the cases in the original list.


 Image Review

Q: Can users see the actual date an image review was sent, not just the image date?
A: A feature request was made to display the “Image Review Sent Date” separately from the image upload date. This helps users track when reviews were assigned, especially for older uploads.


Case List Behavior

Q: Why do removed cases reappear in a case list after editing one of the listed cases?
A: This occurs because the list refreshes from the most recent search. Users can prevent this by re-saving the list after making removals. The behavior is under review for improvement.


Upload Center

Q: Will there be an Upload Center in STAC 3 like in STAC 2?
A: Yes. STAC 3 will include a drag-and-drop Upload Center for browsing unassociated files, reducing reliance on the legacy Client Tool. Direct upload and assignment features will be available.


 Knowledge Base & Community Forum

Q: What is the purpose of the CIP forum for Stac 3?
A: It’s intended for users to ask questions, share feedback, and discuss features or use cases collaboratively. Users are encouraged to participate, but sensitive or role-specific discussions (e.g., PD vs. SAO) should be handled separately.



From 7/30/2025 Collab:

Score Sheet Module

Q: Can users add charges to the prior record screen without specifying a level in STAC 3?
A: Currently, a level is required for each charge added. However, users requested that this field be optional since some charges (e.g., hybrid misdemeanors or out-of-county charges) may not have a clear level. This change is under consideration to match STAC 2 behavior.


Q: Is the "Clerk Number" field available when adding charges to the prior record in STAC 3?
A: No, this field is currently missing in STAC 3 but was available in STAC 2. The request has been made to restore it.


Q: Can users search for a charge by its short description when adding it to the score sheet?
A: Not currently. A request has been made to allow searching by short description (e.g., "POP" for Possession of Paraphernalia) when that option is enabled in the configuration.


Directory & Case Tab

Q: In STAC 3, does the directory case list show only current relationships by default?
A: No, it currently displays all related cases, regardless of whether the relationship is current. A request was made to add a toggle or column to identify/filter for "current" relationships.


Q: Can the default number of displayed cases in the directory case tab be increased and retained per user?
A: Yes, user configuration can control the number of displayed results. This setting is remembered per user.


Notifications

Q: Can users sort their notifications in STAC 3 like they could in STAC 2?
A: Not yet but sorting functionality is planned.


Q: Is it possible to forward notifications to other users?
A: Not currently, but a feature request was submitted to enable forwarding with optional notes or escalation logic.


Q: Can users manually create a new notification in STAC 3?
A: Not yet. Manual notification creation (as available in STAC 2) is a requested feature.


Q: Can notifications assigned to inactive users be automatically forwarded to new users?
A: Currently, this automation exists for some items (like image reviews and calendar items) but not for all notification types. This behavior is being reviewed for possible automation.


Q: Why do notifications sometimes go to inactive users?
A: default notifications (e.g., upgrade notices) are filtered for active users, but CIP will investigate specific cases if that doesn't appear to be working.


Request Module

Q: Can users reassign requests directly from the “My Requests” page without opening the case?
A: This functionality was requested. While it’s technically feasible, concerns about tracking changes and bulk updates. A full reassignment feature with audit tracking is being considered for future redesign.


Calendar Access

Q: Will users be able to view other users’ calendars in STAC 3 like they did in STAC 2?
A: This is not planned for Beta 4, but it's under consideration. A filter may be added to show only STAC-specific appointments when viewing another user’s calendar.


Merging Documents & UI Behavior

Q: Can clicking on a document description automatically select it during merge?
A: Not currently, due to inconsistencies in how checkboxes work across screens. However, improvements are being implemented in Beta 4 to support this behavior in some merge screens.


 Relationship Tab

Q: Will the “Current” relationship checkbox default to checked in STAC 3 (as it does in STAC 2)?
A: Not currently, but this behavior will be changed to match STAC 2 by defaulting to "Current."


Directory Validation

Q: Does STAC 3 provide a popup warning for duplicate driver's license (DL) entries like in STAC 2?
A: This feature is intended but appears to be inconsistent. validation occurs when updating a directory, and is checking creation behavior.


Q: What other fields trigger duplicate entry warnings?
A: Fields include Social Security Number, DL (with state), bar number, badge number, and others.


 Charge Numbering

Q: Does STAC 3 automatically resequence charges after one is removed?
A: No, not currently. In STAC 2, charges renumbered automatically. This behavior is expected to be restored, pending confirmation of configuration settings.


Directory Defaults

Q: Will e-service and discovery methods default for attorneys/officers in STAC 3 like in STAC 2?
A: Not yet. CIP is considering allowing configuration of default methods per office after completing UI work.


Q: When adding a new address, will it default to "Main" like it did in STAC 2?
A: This change is scheduled for inclusion in Beta 4.


 Knowledge Base and Community Involvement

Q: How can users contribute to the STAC Knowledge Base and community help center?
A: Users are encouraged to participate by commenting, suggesting features, and sharing tips on the CIP community portal and help center.

Case Assignment History Visibility

Q: Can users view ASA assignment and case status directly in the directory card without expanding each case row?

A: Not currently. The directory card requires manual expansion of each row to view details like ASA and case status.

suggested an alternative: creating a report that lists prior cases with detailed info (ASA, arrest date, etc.), which could be printed or attached to the packet.


Automatic Pop-Up of Prior Cases During Case Entry

Q: In STAC 3, do prior related cases automatically pop up during case entry like in STAC 2?

A: This functionality should exist, but noted it’s not working consistently in STAC 3.

CIP will investigate and confirm whether the pop-up for prior cases on reused directory entries is missing or not displaying as expected.


 Directory Leave Entry Error

Q: Why can't users add leave entries for a directory record that has events in STAC 3?

A: This is due to a misinterpreted message. STAC 3 incorrectly blocks adding leave when events exist. This is being fixed in Beta 4.


Directory Editing During Case Entry

Q: Can users update an existing directory record when adding it during case entry in STAC 3?

A: Not yet. A new feature in Beta 4 will allow users to update addresses, phones, emails, and profiles during directory search in the case wizard or relationship tab. Permissions will follow existing directory editing rules.


Character Limit on Disposition Field in Case Wizard

Q: Why is there a character limit on the disposition box in STAC 3?

A: The current 100-character limit is unintended. It will be increased in Beta 4.


Font and Display Settings

Q: Can users change font size and color contrast in STAC 3?

A: A user-level resolution configuration is coming in Beta 4 to allow for better control of display settings. Dark mode and more themes are future goals but not prioritized yet.


Case Notes Formatting

Q: Will STAC 3 support more formatting options in case notes (bullets, font size, highlight removal, spacing)?

A: Yes, more features are planned for future releases. For now:

  • Shift+Enter allows single-line spacing.
  • Highlighting can be removed using a white or near-background color, but visibility issues exist due to the current yellow background.
  • More editing tools may be introduced later, depending on priority and capacity.

 Image Tab Lag and Preview Issues

Q: Why is there a lag or incorrect preview when filtering images or switching folders in STAC 3?

A: This is a known issue with the image preview not refreshing properly. Fixes are included in Beta 4, particularly for scenarios where filtering or switching folders still displays the prior document.


Image Review - “Fit to Width” Inconsistency

Q: Why does the ‘Fit to Width’ option sometimes display two pages or resize improperly during merge or preview?

A: This behavior has been addressed in Beta 3, with further fixes pending in Beta 4, especially in pending review and image merge screens.


STAC 2/3 Upgrade Dependency

Q: Do STAC 2 and STAC 3 need to be upgraded together?

A: You must upgrade STAC 2 before STAC 3, but they no longer require simultaneous upgrades.



From 8/13/2025 Collab:

 Alias Display on Directory Cards

Q: Why does the alias section on the directory card sometimes show “1 alias” but display no alias details?

A: Currently, the directory card displays only the person that the subject is an alias of, not the list of people associated as aliases. To view the full alias list, users must go to the full Directory tab. CIP is reviewing this for possible UI improvement to show all associated aliases and support expansion of individual entries in future versions.


 Tabbing Issue in Directory

Q: Why does the tab key skip fillable fields on the directory entry screen and jump to “New Directory”?

A: This is a known bug in tab navigation. The tab sequence currently jumps from “Name Search” to “New Directory,” skipping key input fields. This will be addressed in a future patch.


 Directory Field Validation (Symbols in Names)

Q: users can bypass name entry validation by starting a name field with a space, period, or comma, will this be fixed?

A: Yes. CIP confirmed that entering a space, period, or comma as the first character in a name field currently bypasses validation. A fix is being evaluated to restrict these characters as the first or only entry while still allowing legitimate name formats like “T.J.” or hyphenated names.


 Downloading Multiple Files (STAC 3)

Q: Why is downloading multiple files from STAC 3 producing confusing folder structures in the ZIP file?

A: When selecting multiple files in the image tab and downloading them as a ZIP, STAC 3 currently:

  • Names the ZIP folder as images.zip rather than using the case number.
  • Embeds files inside multiple subfolders (e.g., folder > subfolder > image), which can confuse end users.

This differs from STAC 2, which used the SAO number and subtype in file naming. CIP is reviewing current naming conventions and may apply a configuration that aligns ZIP file names with agency case numbers and streamlines folder hierarchy.


 File Download Naming Convention

Q: Can downloaded ZIP files be named after the case number instead of "images"?

A: Possibly. CIP believes the current naming is tied to a configuration setting related to image type or subtype. They will confirm whether this can be changed in future versions to better reflect the case number in the download filename.


Knowledge Base Access & Permissions

Q: Will the STAC 3 Knowledge Base be accessible to general users, and will it include separate views for admins and users?

A: CIP is exploring options to make the knowledge base more accessible, possibly from within STAC. However, they want to ensure security, privacy, and clean separation of administrative content. While a user/admin split is not yet available, it's under consideration.


 Ticket Sharing

Q: Can circuits view tickets submitted by other circuits?

A: No. Each organization can only view its own submitted tickets. For broader awareness of common issues, CIP will use Announcements and Community Discussions within the knowledge base, not open ticket viewing.


 SA/PD Segmentation in Community Forums

Q: Will there be separate sections for State Attorney and Public Defender offices in the STAC 3 community forum?

A: Possibly, but not initially. CIP wants to avoid fragmenting discussion while usage is still low. If engagement increases and user needs justify it, they may add SA/PD-specific spaces later.

Q: Is OCR-powered content search improved?
A: Yes. Beta 4 resolved preview and search glitches added better error messages for unsupported file types, and clarified search behavior for scanned vs. native PDFs.


Document Editor Updates

Q: What’s new in the document editor?
A:

  • New ruler bar added (being fixed if not visible)
  • Improved copy/paste handling with underlined signature variables

Score Sheet Functionality

 Q: Will STAC 3 have an option for “New Score Sheet – Current Case Only”?

A: As of Beta 4, STAC 3 does not offer the “New – Current Case Only” option that exists in STAC 2. Currently, users can only choose between:

  • New Score Sheet
    – includes charges from all open/pending cases (Section II) and prior convictions (Section IV)
  • Duplicate
    – copies an existing score sheet from the same case
  • Import
    – imports a score sheet from another case for the same defendant

There are no plans to add “Current Case Only” in the next release, but the team may reconsider based on user demand. For now, the workaround is to manually delete unrelated charges after generating a score sheet.


Q: Why is the “Current Case Only” option important?

A: This option allows attorneys to generate a score sheet that includes only the charges for the current case (e.g., Case A), even if the defendant has other open cases (Cases B and C). This is commonly used when a plea or sentencing occurs in one case independently of others. It reduces confusion and avoids the need for manual cleanup of unrelated charges.


Q: What is the workaround if I only want a score sheet for one case?

A: Create a new score sheet, then manually remove all additional/pending charges and prior records that aren’t applicable to the current case. This isn’t ideal but allows the user to complete the task.


Q: What are the known issues when entering Prior Records or Additional Offenses in STAC 3?

A:

  1. Additional Offenses
    : The “Add Additional Offenses” section does not allow users to enter an Incident Number or “Reopen as” information.
  2. Statute Number Required
    : In both Additional Offenses and Prior Record, users must enter a statute number—even when:
    • A generic label like “Various Misdemeanors” is preferred
    • The statute is out-of-state
    • The statute is not in the local table and likely won’t be reused

In STAC 2, this was not required, and attorneys often entered general descriptions without linking a statute.


Q: Can Score Sheets be used with multi-select case lists?

A: No. The Score Sheet module in STAC 3 supports only single case selection at this time.


Q: Is CIP reviewing these score sheet issues?

A: Yes. The STAC development team confirmed they are reviewing:

  • Required field logic for statute numbers
  • Entry fields for Incident Numbers and “Reopen as”
  • Possible reinstatement of the "Current Case Only" option

Q: Why wasn’t the Table of Contents showing on the CIP Learn page?
A: The user had the page in “Reader View,” which disables certain elements like the Table of Contents. Once switched out of Reader View, the TOC displayed correctly.


Q: Is the new chatbot functional and where is it located?
A: Yes, a new chatbot (Lexi) has been implemented in CIP Learn. It can answer questions based on articles published by Giovanna and others. The more feedback it receives, the more it improves.


Reports & Crystal Reports Behavior

Q: Can we export reports in RTF to allow manual redaction of some note content?
A: Currently, reports can be exported and edited in Word, but the system doesn’t support saving edited content back into STAC. A feature request was noted, but there was also discussion around refining note types to avoid exporting sensitive information.


Q: Why do hyperlinks in STAC 3 reports open in the same tab and cause the user to lose their place?
A: STAC 3 uses Crystal Reports, which controls rendering behavior. When a user clicks a hyperlink in a report (rendered as HTML), it opens in the same tab by default. This causes the report view to disappear when using the browser's back button, requiring a re-run of the report. The workaround is to right-click and open the link in a new tab.


Q: Can STAC 3 reports be configured to open hyperlinks in a new tab automatically (e.g., target="_blank")?
A: Possibly — but this behavior must be configured inside Crystal Reports itself, not in the STAC application. CIP acknowledged this is not currently supported, but may be achievable within Crystal’s hyperlink settings. They will explore whether this can be implemented using Crystal’s “target=_blank” equivalent.


Q: Are STAC 3 reports rendered in HTML or PDF?
A: By default, most reports in STAC 3 are rendered as PDF, not HTML. While some reports are coded to be HTML, the system still defaults to PDF rendering unless changed explicitly. This can limit functionality like clickable links or in-browser interactivity.


Q: Is HTML rendering of Crystal Reports on the roadmap for STAC 3?
A: No, not at this time. Although CIP is assessing the feasibility of allowing HTML-rendered reports, it is not on the current development roadmap. There is no timeline or guarantee it will be implemented. Users who relied on HTML rendering in STAC 2 (for functionality such as clickable case numbers or better formatting) may experience limitations in STAC 3 until further changes are made.


Directory & Relationship Add Behavior

Q: Why does STAC 3 say “You’re about to abandon the directory” even when a directory entry was saved?
A: This message appears when the user doesn’t save associated address/phone info. The directory saves, but the system prompts the user due to missing related data. CIP acknowledged that the wording may need to be improved for clarity.


Q: Can STAC 3 auto-tab from area code to the rest of the phone number like STAC 2?
A: This is not currently implemented in STAC 3, but it will be reviewed as a possible enhancement.


Image Tab Issues

Q: Why does sorting by date/time in the image tab sometimes reverse the order unexpectedly?
A: There’s a bug where sorting works correctly for the date but reverses the time within the same day. This does not occur in the Event tab. CIP will investigate.


Q: Why is the zoom icon view distorted on the image tab?
A: Preview alignment and file name positioning issues were observed. CIP confirmed and is reviewing.


Q: Why can’t some images (e.g., JPGs from Link Parser/CIP Portal) be printed directly in STAC 3?
A: If a file isn’t in local storage, print options may be disabled. CIP is investigating case-specific print behavior for images uploaded through Link Parser.


Q: Can undo rotate or counterclockwise rotate be added in PDF viewer?
A: Yes, these options are under review for enhancement. Currently, the rotate function requires three steps to return to the original position.


Downloads

Q: Why does downloading certain video/media files fail or delay from the image tab?
A: If the download doesn’t trigger properly or shows an error, users should submit a ticket with the specific case and record. It may be record-specific and requires investigation.


Case List Features

Q: Will STAC 3 add a "Clear List" button like in STAC 2?
A: This is under consideration. Several users (SAO15, SAO16, SAO19) supported the request. It helps when users forget to turn off “Add to List” and want to reset quickly.


Q: Are there any workarounds for clearing the case list in STAC 3 currently?
A: Currently, the only workaround is:

  1. Manually select all entries.
  2. Use “Remove from List.”
  3. Or toggle off “Add to List,” search again, and toggle it back on.

Search Experience

Q: Can search filters in tab views be retained instead of resetting each time?
A: CIP is reviewing this request. Retaining filters between tab views is a known backlog item.


Q: Can the search box retain focus in STAC 3 like in STAC 2?
A: This is on the backlog. Currently, STAC 3 forces the user to click back into the search box when modifying a search string.


CIP Portal & Hosted Storage

Q: Can open case files (e.g., ZIPs, MP4s, JPGs) be uploaded to CIP cloud storage for discovery?
A: CIP currently only uploads files from closed cases. Requests to upload additional file types on open cases can be considered but must be submitted as specific tickets. CIP reiterated this is not planned broadly due to resource considerations.


Document Merge & Save Behavior

Q: When merging multiple documents and exporting to Word, can changes be saved back into STAC 3?
A: No. Just like STAC 2, once exported, the concatenated file is disconnected from STAC and cannot be saved back into the system.


Configuration & Permissions

Q: Why can users change last names in STAC 3 when this was restricted in STAC 2?
A: This is a bug, not a configuration issue. CIP is aware and will address it.


Q: When will user permissions/security configurations from STAC 2 transfer to STAC 3?
A: Security settings and other admin configurations will be one of the last items migrated due to their limited user impact.


Cleanup & Admin Issues

Q: Why is deleting a case in STAC 3 timing out?
A: This is a known database-level issue affecting both STAC 2 and 3. CIP is investigating locked delete statements and processing delays.

Image Review / Hyperlink Functionality

Q: Why don’t embedded hyperlinks work in email messages when viewed in STAC 3’s image tab?
A: In STAC 3, email messages are converted to PDFs, which disables interactive hyperlink functionality. To access the original clickable content, right-click the image record from the grid view and choose Download. This preserves the original format and allows hyperlink access. The preview pane does not support this behavior.


Copying Comments from Events

Q: Why can’t users right-click to copy text from the Event Tab comments in STAC 3?
A: In STAC 3, right-click actions are overridden by STAC's custom context menu. To copy text from an event comment, users should use keyboard shortcuts like Ctrl+C or open the case card or detail view, which allows standard browser right-click copy functionality.


Selecting Inactive Directory Records During Case Entry

Q: Can users select inactive directory records when creating cases in STAC 3?
A: Yes, this is a known bug. Even when filters are set to display only active records, the search still returns inactive or terminated entries. CIP is working on a fix for a future release to ensure filters and dropdown behavior are aligned.


 Relationship Tab – Display Cutoff

Q: Why does the Relationship tab sometimes cut off information and only show the name?
A: This occurs when the screen is not in full-screen mode. STAC 3’s responsive design limits visible content in smaller window sizes. Switch to full-screen to see full relationship details. Resetting user settings may also help.


Disposition Actions Missing or Overloaded

Q: Why are some users unable to select certain disposition actions (e.g., "Not Pros") in the Dispose Case wizard?
A: There may be a configuration or correlation issue related to case type and disposition action mapping. This is being investigated. Some offices report seeing too many options (e.g., including VOPs), which may be due to misconfigured filters or queries.


Directory Compression Behavior

Q: Can directory compression in STAC 3 be instant like in STAC 2 instead of overnight?
A: Currently, STAC 3 performs directory compression overnight to avoid performance impacts. Multiple circuits (SA19, SA12, SA03, SA15, SA3, SA16) have requested This change.
CIP is evaluating the request and may introduce instant compression in a future version.


Image Review – Sorting by Division & Status

Q: Can users sort the image review list by both division and status to route catch-all cases more easily?
A: Not currently. Division is not available as a column in the image review list. CIP is reviewing whether this enhancement can be added, since division routing is critical for offices that rely on administrative review for unassigned images.


Image Tab Navigation Behavior

Q: Can users click “more” to expand image lists in STAC 3?
A: Not reliably. The "more" link sometimes navigates to a single image rather than showing the full list. Users may need to manually click into the Images tab from the case screen to view the complete list of images


Open Multiple Cases from Image Review

Q: Can users right-click and open multiple selected cases from the image review screen?
A: Not yet, but the feature request has been logged. Users currently need to open each case one at a time.


Bulk Printing from Image Tab After Merge

Q: Is there a way to print all merged documents in one step from the image tab without exporting to Word?
A: No. The current process requires users to export to Word before printing. CIP is reviewing whether a direct print option can be added.


Can users add email addresses through the “More” option in relationships?

Q: Can users add an email address via the "More" menu when right-clicking a relationship?
A: Currently, only phone numbers and addresses can be added. CIP is reviewing whether the option to add email addresses can be included, while also considering how to avoid cluttering the menu.


Selecting Future Dates for Subpoenas

Q: Can users choose which future hearing date to include when generating subpoenas?
A: Not easily in STAC 3. The system currently brings the latest hearing date by default, and users must manually change it. Unlike STAC 2, which showed all options, STAC 3 lacks this dropdown or multi-date visibility. CIP is exploring improvements.


 Tabular View & Display Options

Q: Is there a plan to bring back the tabular view option in STAC 3?
A: No, there are currently no plans to reintroduce the tabular view. The team is focusing on optimizing the existing layout rather than supporting multiple display modes.


Can the Agency Report Number be added to the case header display?

Q: Can the agency number (report number) be added to the header display in STAC 3?
A: Not at this time. CIP is intentionally limiting the header display to essential fields to preserve screen space. The agency number is already available on the case card and case search list. Adding it to the header may create clutter, especially on smaller screens.


Column Height & Spacing Adjustments

Q: Can users resize rows or preserve increased column height for easier hyperlink clicking?
A: No, row height is not preserved when navigating away and back. Users can increase column width to make it easier to click on dense or overlapping text. Persistent height resizing is not currently supported and may affect performance or layout consistency.


 Leave Entry Time Defaults (AM/PM Bug)

Q: Why does the leave request form default to AM even when PM is selected?
A: This appears to be a bug related to time input handling. In the demo, a user selected 11 PM but the system interpreted it as 11 AM. Additionally, the appearance of “23” (military time) in a standard AM/PM dropdown is unexpected. CIP has noted this for review.


Soundex Search Functionality

Q: Is Soundex (fuzzy spelling search) still available in STAC 3 for names?
A: Yes, Soundex-style behavior is still included under keyword search, but some users may not be aware of it. CIP confirmed it exists in directory search and is working to clarify its presence in case keyword search as well. Circuits that rely on Soundex (e.g., circuits with Spanish/Creole names) emphasized its importance for reception staff.


Assignment Approval Rights Not Working

Q: Why can’t attorneys approve documents in the assignment workflow in STAC 3?
A: This is a known bug caused by a dependency on the Assignment Administrator screen permission. If this permission is not granted, users can’t approve assignments, even their own. CIP is removing this dependency in the next release. For now, enabling "Assignment Admin" grants approval rights, but also allows approval of all users’ assignments (not ideal).


 Assignment Workflow vs. Image Review

Q: Should we use Assignment Workflow or Image Review for internal document approvals?
A: Either can work. Image Review and Assignment Workflow both allow for routing and user action without restricting discoverability or sharing. Some Circuits use Assignment Workflow so attorneys can approve documents before they’re sent out. CIP recommends whichever process best fits your circuit’s workflow, provided it avoids unnecessary complexity.


Deposition Module & Transcript Integration

Q: Is the Deposition Recording Module still available in STAC 3? Can we run transcript analysis on it?
A: Not yet. The Deposition Recording Module is not yet integrated into STAC 3 but is on the roadmap. CIP plans to enhance it by combining it with the CIP Portal’s Zoom-based Conference Module, allowing scheduling, recording, and transcription directly in STAC 3 for meetings, depositions, or interviews.


STAC 3 Upgrade Notes (Cloud-specific)

Q: What should circuits do to upgrade STAC 3 if they’re on cloud deployments with restricted script execution?
A: CIP is aware of cloud-restricted environments that block automated upgrade scripts. For these circuits, the CIP cloud team will coordinate a manual upgrade process. A simplified installer may be available in the future, similar to STAC 2’s downloadable upgrade package.


Knowledge Base Navigation Bug

Q: When clicking “more” on an image or entry in the STAC 3 Knowledge Base, why does it only show the top item rather than the full list?
A: This is a known issue with the STAC 3 platform UI. When clicking “more,” it currently jumps to the first or last item rather than expanding the full list. CIP is checking with the platform vendor to see if it can be corrected in a future version.

Patch 4.2 & Stability

Q: Do we need to install the Beta 4.2 patch?
A: Yes. It addresses case-delete timeouts, PDF preview “spinning wheel” caused by layered previews, and other stability items. Some DB hotfixes are being applied individually (no full downtime).


Q: Case deletion was timing out, was this fully fixed?
A: Yes. Remaining issues after 4.1 were addressed in 4.2 plus targeted DB procedure updates per circuit.


PDF Preview / Merge

Q: Why did some PDFs crash the preview with an endless spinner?
A: Certain Word templates produced PDFs with invalid metadata; the enhanced PDF viewer (for highlights/redactions) couldn’t render them. Records were saved, this was strictly a preview/UI failure.


Q: Do already-merged PDFs still crash?
A: Yes, previously merged PDFs with invalid metadata will continue to crash the viewer.


Q: What are the current workarounds to “heal” affected PDFs?
A:

  1. Open the PDF in Adobe Reader → Print → choose Microsoft Print to PDF → save → replace the file on the file server (keep same filename/path); or
  2. (Last resort) Delete the image record and re-merge (not preferred due to record loss).


Q: Can we estimate how many documents are impacted?
A: You can approximate by locating cases that used the offending template(s) since the preview enhancement, then querying those image records. Precision is limited (STAC 2 vs 3 merges aren’t always distinguished).


Q: Do we need to change Word templates?
A: Not broadly. The issue was in the PDF metadata produced during merge+preview. If a specific template consistently recreates the issue, review it for unsupported fields/macros/embedded elements.


Dashboard & Widgets

Q: Can agencies edit or build dashboard widgets themselves?
A: Not currently. Dashboards are CIP-maintained to protect performance/consistency. Future tooling is under consideration but not on the current backlog.


Q: Why do “My Hearings Today/Upcoming” include cases where I’m not the trial attorney?
A: Widgets list hearings for cases where the user holds any current relationship (e.g., filing, trial, secretary), not filtered by specific relationship type.


Q: Can we filter widgets to exclude filing attorneys (FASA) and only show trial attorneys?
A: Not at this time. Team is exploring broader solutions for “current responsible attorney” without heavy/performance-risky SQL.


Q: Division Chiefs see all hearings for their division; can they filter to a specific ASA?
A: Technically feasible but not planned in the current sprint; request is logged as a potential enhancement (e.g., ASA filter in “Cases Set for Hearing”).


Q: Resizing a widget only resizes the container, not the grid content—and column order resets on refresh. Can those persist?
A: Persistence of column order/size is not guaranteed now. Team will investigate feasibility of saving grid layout preferences.


Notes Module

Q: Tables I insert in a Note don’t “stay” when saved—why?
A: The table renders in Preview on the right. The stored note content displays with formatting appropriate to the note viewer; use Preview to verify layout.


Image Review

Q: Multi-select “Add Reviewer” deselects items after save and can be confusing, is it a bug?
A: Current behavior applies the change but may clear the selection, which can feel disruptive. Report any inconsistent apply/not-apply cases with steps/video.


Q: We often transfer review to another person (not add extra reviewers). Can we have a “Transfer Reviewer” action?
A: This use case is common. A dedicated Transfer action (reassign without Stacking logs) is being considered to reduce log noise and clicks.


Q: The button still says “Review” when multiple is selected; can UI better reflect multi-selection?
A: Noted. Action applies to all selected items even if preview shows one. UI/affordance improvements are under consideration.


Case/Directory Cards & UI

Q: Can we drag/move the Case/Directory pop-out cards, not just minimize?
A: Not currently. Please capture scenarios where movement helps; team will assess consistent behavior with other movable panels.


Q: Sending an image by email doesn’t preselect a template like STAC 2 did.
A: A configuration option to define default message templates is planned.


Directory & Data Entry

Q: Pasting entire address blocks works for Address/City, but dragging to ZIP fails—why?
A: ZIP is a numeric field with live validation that blocks certain drag behaviors. Cut-and-paste works, typing works.


Q: Directory → Leave tab: We couldn’t save leave unless we typed in the Comment field.
A: Known bug; fixed in the next version.

A: No current switch. Team prefers engaging admin leadership to align on purpose vs. simply hiding; a flag may be considered, but non-participation risks falling behind as the tool evolves.


Q: Will STAC 3 provide lots of out-of-the-box reports (like BOMS)?
A: Goal is robust system-provided widgets/reports to reduce reliance on ad-hoc SQL (which is fragile and hard to validate).


Search, Filters & Multi-select

Q: After I filter a tab (e.g., date range), can that filter persist when I move to the next case?
A: Today, sorts/groups persist; filters reset on case change (to avoid “where did my records go?” confusion). Team will revisit preserving filters; internal discussion planned.


Q: Multi-select keeps closing if I click outside, can it stay open?
A: Use Ctrl for multi-select and Shift for ranges (Outlook-style). Behavior documented; team will review UX polish.


Document Editing (Word Pane) & Export

Q: Do we have full Word feature parity (e.g., footnotes)?
A: Browser editor won’t match full desktop Word. Features will grow but set expectations accordingly.
Tip: Alt+Ctrl+F inserts a footnote now; a visible button is being considered.


Q: Can attorneys “Save As” to work locally?
A: Yes. Export from the grid/right-click. Changes made to exported files do not sync back. Beta-4 includes a crash/timeout restore safeguard for in-browser edits.


Case Status & Events

Q: In STAC 2, adding an event to Open & Active prompts “Reactivate?” with Yes/No; in STAC 3 cancel blocks the action. Can we proceed without reactivating?
A: Team will review allowing No to proceed while keeping Open & Active


New Case Wizard & Screen Layout

Q: Why is Division on screen 2, not screen 1? Can we move it or require it?
A: Division can arrive from clerk exchange and is populated between screens 1→2. Putting it on screen 1 blocks import. You can make it required via config, if business rules permit (some offices can’t require it at intake).


Q: Arresting agency entered on screen 1 doesn’t show on Relationships until save—bug?
A: Intended. It prevents desync between the two areas. Save before expecting it on Relationships.


Q: Directory add inside the wizard sometimes “loses” saved address/phone.
A: A known UX issue (save button placement/scroll). Fix coming next version: open directory in a dedicated dialog (same as the tab) to force Save/Cancel before returning.


UI, Theming & Accessibility

Q: Users say there’s too much white space / hard to follow tabs.
A: STAC 3 offers per-user control: move toolbar (top/left), collapse panels, reorder columns/tabs, resize columns (state is saved).
Improvements under consideration:
clearer tab outlines, optional grid lines, expanded theme colors.


Q: Can we get XL font size for visually impaired users?
A: On the roadmap (not immediate, core operational fixes prioritized).


Q: Dark Mode?

Autocomplete, Consolidations & “Class” Field

Q: Autocomplete in comment fields (ABC) returning?
A: On roadmap (not removed intentionally; prioritization ongoing).

Q: Our office uses Class; can it move to screen 1 and/or be required?
A: Placement: team prefers consistent screen semantics; Class is variably used across circuits. Requirement: will be addressed in upcoming modernized customization.

Interim workaround: notification prompting for missing Class.


Directory: Search, Cards, IDs & Compression

Q: Directory quick search only shows last name, can we display more (first, middle)?
A: The quick list shows the first 3–4 grid fields from Directory Search Results. Reorder/configure that list to change what appears. Team will reproduce reports where only last name shows despite config.


Q: On Relationship » Details, the ID confuses users (they think it’s Directory ID).
A: That ID is the record ID for the current tab (e.g., relationship ID), by design.

 Guidance/Tip: train users to open the Directory Card from the name link if they need directory info.


Q: Can the Directory Card show identifiers (DL#, SSN) and/or the Directory ID?
A: Team will explore adding an Identifiers section on the card; Directory ID visibility under review (balance usefulness vs. clutter).


Q: Directory search by badge number, does it search history?
A: Generally, no (search uses current values). SSN/DL may be exceptions; team to confirm. Badge search is current-only today.


Q: During compression, will duplicate addresses/phones be deduped?
A: Yes, checks require exact match (type, characters, spacing, punctuation). Small differences won’t match.


Q: On compression, can brought-over addresses/phones be automatically end-dated (or end-date in bulk)?
A: Not currently. Bulk updates carry risk (overwriting unseen values). Team is considering safe options:

  • A right-click “Set end date” for selected items (within one directory).
  • Adjusting compression so imported items become historical by default (no assumption they’re “current”).

Images Tab

Q: In drag-and-drop, category selection text is hard to read (black on dark) and group rows can be selected.
A: Contrast issue acknowledged; group rows should not be selectable. Visual fixes planned.


Small UX

  • Zip/Phone fields:
    cursor can start mid-field if clicked in the middle; team will enforce focus to start at the beginning of the fields.
